FAQ
Everyday use
How long does the QR code stay readable?
As long as it stays clean. If a label gets damaged or fades, you reprint it in two clicks: the QR code does not change, and the old and the new one point to the same profile.
What if the other person doesn't have a smartphone?
The QR also works with a card (credit-card format) or a printed sticker: someone nearby can scan it to pass on the information.
Do you need a recent smartphone to scan?
All recent smartphones read QR codes natively with their camera. No app to install for the person scanning. The profile opens in the web browser.
If I edit the profile, do I have to reprint?
No. The QR never changes: it is the address of your profile, not its content. You edit the profile, and the next readers see the updated version. You only reprint if the physical medium is damaged.
My child doesn't like people talking about their disability.
You write the profile in your own words, and you show the QR to your child before putting it anywhere. Many children take ownership of it once they see they no longer have to tell the story themselves.
What if the teacher doesn't scan it?
The profile stays accessible to the people you have shared the link with. And the QR sticks on the pencil case, the planner, or the home-school notebook, where its presence often sparks curiosity.
What can I put in it?
Your preferences, what helps, your limits, what you want people to know. Anything that makes the encounter easier, nothing imposed.
Is it compatible with an RQTH (French official disability status)?
Yes. You can mention your RQTH, its validity dates and the accommodations that go with it. You are the one who decides whether to write this information in the profile or not.
What if I change companies?
The profile stays yours, you take it with you. You reshare the QR with your new manager and you are good to go, without telling the whole story again. You can also update the profile at any time, the QR doesn't change.
What if the AESH changes during the year?
You give the QR code to the new person, they scan it, and within seconds they have the same information as the previous one. No need to go over everything again at each change (and there usually are some). This is exactly the kind of situation where the profile saves you from repeating yourself.
Does the QR code follow me abroad? Are other languages available?
The QR code works anywhere in the world as long as the person scanning has an internet connection. The profile shows in the language you wrote it in. If you travel regularly, you can write a profile in two languages, or add a note in English in the introduction to guide whoever scans it.
I would rather not show my disability day to day, only when needed. Is that possible?
Yes. You decide where you put the QR code. On an emergency bracelet, inside a wallet, under your phone case, in a first aid kit, you stay in control of the contexts in which the profile can be read. No one knows you have a QR code if you do not share it.
My relative is in a care home, how do I share the QR code with the care team?
You can stick a sticker on the care file, on the room door, or on a bracelet, depending on what the facility allows. You can also simply send the link by email to the head nurse. Anyone who scans it reads the same profile, which keeps the information from getting lost as the team rotates.
My relative is moving to a different care facility, is that complicated?
No, because the profile belongs to the person, not to the facility. You keep the same QR code, you share it with the new team, and the handover is immediate. You can add or remove information in the profile at any time, with nothing to reprint.
Does the QR code have to be displayed at my workstation?
Not at all. You decide where you put it and who you give it to. You can choose to share it only with your direct manager, with your disability officer, or in your email signature for close colleagues. No public display is needed.
In a job interview, do I have to mention the QR code?
You are under no obligation to bring up a disability in an interview (unless a workstation accommodation is needed from day one). If you decide to talk about it after being hired, the QR code can help you pass along the useful information without having to rephrase everything for several people (HR, manager, team). The timing and the way remain your choice.
If I change managers, how do I handle the handover?
You simply pass the QR code (or the link) to your new manager. They scan it, they read the profile, and within seconds they have the essentials without you having to explain everything again. If your situation has changed in the meantime, you update the profile before sharing, and the QR code does not change.
For the reader
Is it legal to scan a student's QR code in class?
Yes. The QR code is a public web link shared by the family. It is the modern equivalent of a note in the home-school notebook or a health form, without needing to file it away.
Do I have to tell my school administration?
You can, but no legal framework requires it. The profile is shared by the family, and the family chooses the content and the recipients.
What if the family has not created a profile?
You cannot read anything, and that is consistent: the profile exists only if the family decided to create it. You can recommend myHandiQR without pushing.
Where do I find a QR code to scan and try it out?
Can I scan it during a PPS meeting?
Yes, to get the family context before the educational team meets. The profile does not replace the GEVA-Sco (a school-based needs assessment in France), it complements it on the "how to live with it" side.
Does it replace the verbal handover between AESHs?
No. It gives you a written, up-to-date base. The face-to-face conversation is still useful for the details that are not written down.
What if I have to switch to a different child during the year?
You scan the new child's QR code first thing in the morning. The profile is written by the family and kept up to date. No verbal handover to piece back together.
Does it replace a report?
No. It is the family context before the session, not your clinical observation. You keep your case file as before.
Can I have an adult who consults on their own scan it?
Yes, if they are the one handing you their QR code. The profile is their decision, their content, not a medical record to demand.
What if the family refuses to share?
You work as you did before. The profile is a bonus, not a given. No pressure to apply.
What if I have no internet on site?
Download the profile as a PDF during the briefing and keep it offline. The QR code is just the way in, not a permanent dependency.
Does it replace the health form?
No. The health form (allergies, emergencies, authorizations) is still required. myHandiQR gives the "how to run the activity" side, not the "vital info".
Can I ask for a QR code at registration?
Yes, as an option. The family decides freely. Do not make it a prerequisite, many families will not have created one yet.
Is the employee required to give me their QR code?
No. It is strictly up to them. No legal obligation, no pressure possible.
Can I turn down a candidate because they have not created a profile?
No, and it is illegal (disability discrimination, article L1132-1 of the French Labor Code).
Can I require a profile from my team?
No. You can mention it, never impose it. It is each employee's decision, with no consequence if they decline.
What about the GDPR?
The profile is created and hosted by the employee for their own communication. You read it, you archive nothing. No HR processing in the GDPR sense on the company side.
What about occupational health?
You can pass the QR code to the occupational health doctor ahead of a return-to-work or fitness assessment, and they read the same profile without having to cross-check the information with the employee. Conversely, if occupational health wants a direct channel, they can recommend myHandiQR to the employee at the time of the RQTH (a recognized disabled worker status, in France) declaration or the workstation accommodation.
Getting started
Do I need to know how to print?
No. I offer a printing service: you choose the format (laminated credit-card-size card, labels, A4 sticker sheet), I print it and send it to you by post. If you prefer to print it yourself, the PDF is ready to print, on a single page.
Is rephrasing mandatory?
No, completely optional. If your own words suit you, you leave them as they are. The button is there for the moments when you get stuck, not to make a trip through the AI systematic.
What if I really have nothing to write at first?
You can also leave the area empty and fill it in later. The profile saves as you go. Many parents come back over the following days to complete it, a little at a time. Twenty minutes the first time does not mean twenty minutes in one sitting.
I do not know where to start, can the AI write for me?
No, but it can help you rework what you have sketched out. Each text area has a Rephrase button. You write a few words, even rough ones, you click, and the AI offers you a calmer version. You accept it, edit it, or ignore it. A blank page is never the required starting point.
Can I create a profile for my child or for a loved one?
Yes. A myHandiQR account lets you create several profiles. A parent can manage their child's profile, a family caregiver that of a loved one. The profile stays editable at any time.
How long does it take to create the profile?
Plan on about 20 minutes the first time, using the guided template. After that, edits take a few seconds.
What if I can't fit everything in the profile?
You write 3 texts (introduction, how to help, what to avoid), and you tick the disabilities from a list. Go as brief or as detailed as you like: the profile adapts to what you have to share. You edit the profile at any time, the QR doesn't change. Many users start with a simple version, then build it up as they come across new situations.
How much can I write in each text?
As much or as little as you want. One sentence to get to the point, a paragraph or two to describe something specific about how you work, it is up to you. The profile adapts to what you have to share. You can start simple and add more later, the changes are instant, and the QR code does not change.
Does the QR code replace my child's PPS or PAP?
No. The PPS (Projet Personnalisé de Scolarisation, a personalized schooling plan in France) and the PAP (Plan d'Accompagnement Personnalisé, a personalized support plan in France) remain the official documents that frame the accommodations at school. The myHandiQR code comes in addition, as a quick way to pass along information to the adults who cross paths with the child day to day (a substitute teacher, a new AESH (a teaching assistant for students with disabilities, in France), a field trip chaperone). It replaces no administrative arrangement.
How it works
Concretely, what do I have to write?
How can the same profile speak to a teacher and to an 8-year-old child alike?
Where does the QR code go?
Can I write my own line next to the QR code?
Yes. The printing tool offers you three free lines (top, middle, bottom) that you write however you want: a hook to invite a scan, an identity, a closing note. You can vary the tone from one sheet to the next. A school-bag sticker does not have the same voice as a card tucked into a wallet.
Do you need an app to scan it?
Is it a medical record?
What if I want to change the profile later?
No more repeating yourself
What if I don't want to talk about it with everyone?
You write the profile you want people to read. If something should not be read, you don't write it. The neighbour and the sports coach read the same words, the ones you chose. It is the per-disability explanation, opened on a click, that the AI adapts to the reader's age and role, not the profile.
And the AI, what does it see?
The AI rephrases the per-disability explanation on a click, based on your profile and the names of the disabilities you ticked. It does not create any content about you, and it reveals nothing you have not written.
How can I be sure the profile will be read, without having to explain on top of it?
The QR code is scanned in a few seconds with any recent smartphone. The profile opens in the browser, with nothing to install for the person scanning. You place the QR wherever the other person will need it (home-school notebook, badge, email signature, sticker), and the profile does the work for you.
Is the profile the same for the first responder, the teacher and the employer?
Yes, exactly the same. You write the profile once, and it displays identically to anyone who scans it. If you don't want a piece of information to be read, you don't write it. What adapts to the reader's profile is the per-disability explanation (on a click), not the profile itself.
Why is there an AI if the profile stays the same?
The profile stays the one you wrote. When a reader clicks on a disability (for example "ADHD"), they open an explanation suited to their age and role: an 8-year-old child, a teacher and a first responder don't get the same version. Only this per-disability explanation is adapted, never the content of your profile.
What if I don't want to explain my disability to the people I meet?
That is exactly what myHandiQR is for. You write the profile once, you share your QR with whoever you want, and you no longer have to tell the story at every encounter. The profile says things for you, in the words you chose.
How do I keep my child from being labeled because of the profile?
You write the words that will be read, yourself. You can describe how someone works rather than state a diagnosis, and focus on what helps rather than on what is missing. The profile is there to give context, not to reduce your child to a category. You can change it at any time, based on what you observe.
Staying in control
Are my drafts and my rephrasings used to train an AI?
No. Your texts are used only for your own profile. Neither the drafts, nor the rephrased versions, nor the final versions are used to train a model. European hosting, see the privacy policy.
Can whoever scans the profile tell that my texts were rephrased?
No, it is invisible. The public profile shows the words you approved, with no sign of whether they come from a first draft or from a rephrasing you accepted. To the reader, they are your words.
Can the AI distort what I wrote?
No. The version offered by Rephrase appears next to your original text. You decide whether to replace it, correct it, or ignore it. Until you click to accept, nothing changes.
Can I delete my data?
Yes, at any time, in one click from your account. Deletion is immediate and permanent, in line with the GDPR (the EU General Data Protection Regulation).
Is my information secure?
Yes. Hosting in Europe with OVH, encryption of sensitive data, full GDPR (the EU General Data Protection Regulation) compliance. The profile is only read by the people you give the QR to.
Is my data properly protected?
myHandiQR is an inclusive communication platform that meets European standards, hosted in Europe. You stay in control of the content: edit, suspend, or delete it at any time.
What if I don't feel like sharing the QR for a while?
You suspend the profile in one click. The QR then stops working for anyone scanning it, but your account and your texts are kept. You start again whenever you want.
Is my information public?
No. The QR points to a random URL that only you share. You can also revoke it in one click and generate a new QR.
Who can see that I have a QR?
No one by default. The QR only appears where you put it (sticker, card, email signature), and the profile is only read by those who scan it.
What if someone shares my QR without my permission?
You can revoke the link and generate a new QR in one click. Previous readers lose access immediately.
Can my employer require me to use myHandiQR?
No. It is a personal tool. You share it with whoever you want. Your employer only has access if you give them the QR or the link.
What does my employer see in the profile?
They see exactly what you have written, no more, no less. The profile is the same for everyone who scans it. If you don't want a piece of information to be visible, you don't write it. That is the main safeguard.
Can the AI make something up about me?
No. The AI generates nothing about you. It rephrases the explanation of a disability (on a click) based on the name of the disability ticked and the reader's profile (age, role). Your profile, your texts and your preferences are never changed or interpreted. Your data is not used to train the model.
What happens to my profile if myHandiQR shuts down?
You are notified in advance, with enough time to retrieve or migrate your texts. No abrupt cut-off: your data stays accessible for the duration of the process. This obligation stems from the GDPR (the EU General Data Protection Regulation) and is part of the myHandiQR commitment.
Does myHandiQR sell my data to third parties?
No. No data from your profile is sold, shared with commercial partners or used for advertising. The business model rests solely on the annual subscription ($2/month, which is $24/year per profile). It is this independence that makes confidentiality possible.
European hosting, what does that actually mean for me?
Your data is stored on servers located in Europe, subject to the GDPR (the EU General Data Protection Regulation). No transfer to a jurisdiction outside the EU for storage. In practice, you have the right to access, rectify, port and delete your data at any time, without any complicated process.
Who can access my data on the myHandiQR side?
Access to personal data is limited to what is strictly necessary technically (maintenance, support). The teams do not read the content of your profile as a matter of routine. If you submit a support request, you give your one-off consent for someone to view what is needed to resolve it.
In case of a crisis or a medical episode, can someone scan it without my permission?
Yes, and that is even a common use. If you carry the QR code on an emergency bracelet, in your wallet, or on a card the size of a credit card, a first responder, a passer-by, or a loved one can scan it without asking you. The profile they see is exactly the one you prepared in advance, with the information that helps for the first steps ("how to help me", "what to avoid").
My relative is not always able to understand what is being shared. How do we support them?
You write the profile in their interest, thinking about what they would have wanted shared. If a legal protection arrangement is in place (guardianship, conservatorship), it secures your role.
Trial and pricing
What happens after the 3-month trial?
You decide. If you renew ($2/month, which is $24/year per profile), everything keeps working. If you don't renew, your account and your profiles are kept, only the QR codes stop working. You can reactivate at any time.
Do I need a credit card for the trial?
No. The 3-month trial is free, with no credit card and no automatic renewal. You decide at the end whether you want to continue.
How many profiles can I create?
As many as you want from a single account. Each new profile starts with 3 months of free trial, but only one profile can be on trial at a time. To start a new trial, the previous one must have been paid for ($2/month, which is $24/year) or closed. Each active profile is billed $2/month (which is $24/year). You can activate or deactivate a profile at any time.
What does it actually cost?
3 months of free trial, then $2/month (which is $24 billed once a year). No commitment. If you don't renew, the QR stops working but the account and the texts are kept. You pick things up later without starting from scratch.
What if I change my mind?
You delete the profile in 1 click. During the trial, there is no commitment. After that, you can also simply deactivate the QR without deleting anything.
I manage my loved one's profile, is that legal?
Yes, provided you have their agreement or are their legal guardian. I provide a statement to sign together within 7 days.
My loved one can't give consent, what then?
As a legal guardian, you provide the supporting document (court order, mandate) and I give you management rights over their profile.
What if my loved one refuses?
Without their agreement or a legal framework (guardianship), I cannot create the profile. Respecting consent is a non-negotiable condition.
What happens when I pass away?
Your texts and your loved one's profile are kept: nothing is deleted automatically. The account is accessed with its login and password, which you can pass on to another loved one so they can take over the management. If you want to prepare this handover, write to us: we will look at the steps together.
I don't have an RQTH (French official disability status), can I still use it?
Yes. myHandiQR is not reserved for people with an official administrative recognition, it is a communication tool, not a medical record.
Can my company cover the subscription?
Yes, and it is even common as part of RQTH (French official disability status) accommodations or a company disability policy. You can send us the contact details of the disability officer who will approve the coverage.
How do I pay for my subscription and which payment methods are accepted?
Payment is made online, by credit card, in one go for the year. Renewal is never automatic: at the end of each 12-month period, you decide whether to continue. No hidden charges.
Can an association or a works council cover several profiles?
Yes. An organisation account can cover several profiles with a single invoice. For associations, works councils, local authorities or medical-social organisations, contact us through the form to set the terms (volume, billing, management of beneficiaries).
What if I can't afford $2/month (which is $24 billed once a year)?
The 3-month trial stays available with no credit card. Beyond that, if the situation is temporary, the QR stops working but your account and your texts are kept. You pick things up whenever you want without starting from scratch. For special cases, write to us, we will look at it together.
If I stop for several years, do my texts stay available?
Yes. As long as your account is not deleted, your texts and the list of ticked disabilities stay in the database. You can log back in at any time, reactivate your QR (paying for the year), and everything starts again without having to rewrite the profile.
